RESPONSIBILITIES
Welcomes all visitors with excellent and professional customer service; Operates Economic Development front desk telephone system efficiently answering, screening, and routing incoming calls; and serves as receptionist.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
- Answers and screens calls using professional telephone etiquette and routes calls to the most appropriate location
- Takes and relays messages accurately with caller name, date, time, contact information, and reason for calling
- Provides general information to the public regarding operating hours, referral telephone numbers to callers/visitors when necessary
- Responds to routine inquiries regarding the departments located in the Public Works area
- Politely and professionally greets and directs visitors upon arrival; assists them as necessary
- Maintains an updated telephone directory to facilitate the efficient routing of calls
- Receives outside deliveries such as US Postal Service correspondence, UPS, and Federal Express packages; notifies the relevant department of delivery arrivals;
- Requires all visitors to sign in upon arrival.
- Performs receptionist duties, including typing, photocopying, faxing, sorting the mail, and distributing documents as directed
- Employee must maintain confidentiality, security, and integrity of data and information according to applicable privacy regulations
- Employee must consistently be courteous to staff and visitors
- To perform this job successfully, the individual must be able to perform each essential duty, including mental and physical demands and safety requirements, satisfactorily
- Performs other tasks as may be assigned from time to time by supervisor
EDUCATION/EXPERIENCE REQUIREMENTS:
Minimum Qualifications: High school diploma or graduation equivalent diploma (GED)
Typing proficiency is required.
Preferred Qualifications: Customer service work experience preferred
Prefer 1 year or more experience in an office or clinic setting.
Prefer 1 year or more experience as a PBX or switchboard operator.
