Position: Childcare Supervisor
Supervisor: ECLLC Director
Division: Tribal Education Administration
Department: Kickapoo Tribal Education- Child Care
Responsibilities:
Childcare Supervisor is responsible for supporting the overall day-to-day operations of the Kickapoo Traditional Tribe of Texas Childcare Center. Ensure, at all times, the safety and security of children. Presenting at all times a positive, professional image for the Kickapoo Traditional Tribe of Texas. As part of role in creating, a safe and learning environment for children, this position is responsible for supervising staff schedules, educational programs, and coaching staff, making sure safety policies are implemented, and keeping in touch with parents.
Essential Duties and responsibilities include the following:
Leadership
- Ensure that grantor, program, center, KTTT, and KTEA policies and procedures are implemented along with the daily structure.
- Required to track and comply with ongoing monitoring and accountability requirements for childcare staff.
- Responsible for ensuring that the program operates within budgetary parameters established.
- Responsible for providing onboarding, and other required training for center staff, parents, and volunteers.
Supervisory
- Address, document, assign coverage and or cover unforeseen openings in the shift schedule.
- Assure that shift duties are being carried out in a timely manner and that structure and rules are being consistently implemented.
- Conduct scheduled and unscheduled observation for all staff.
- Conduct staff discipline tracking, and other staff performance monitoring.
- Document and review all center staff, parent, or other concerns regarding students, staff, and childcare center/program, and report to center management.
- Ensure all staff are assigned to shift duties and all classrooms and shifts are covered with the appropriate childcare workers and ensure follow up.
- Ensure that all staff adhere to reporting, recording, and confidentiality as it relates to student data, center concerns, and records, or other confidential and sensitive reporting matters.
- Provide a safe and enjoyable environment for children.
- Provide ongoing feedback to childcare workers regarding their job performance and address job difficulties with them in meetings and staff professional learning communities. Provide all necessary HR/performance documentation to supervisor.
- Document, review, and track student and staff incident reports and discuss and follow up with the childcare staff and provide backup documentation to supervisor.
- Supervise childcare workers in a professional and caring manner; build a cohesive, professional team and encourage a professional environment free of gossip and unprofessional dialogue and/or behavior.
- Support in the planning, developing, and scheduling, and/or provide in-service training and evaluation of childcare staff.
Reporting
- Assure that all materials for files/logs are updated and available and submitted to Tribal Education Administration designee during requested reporting periods.
- Report and follow up on any and all maintenance work orders, or other facilities and center issues.
- Collaborate with Family Service, Data Quality and other designated staff to update, and maintain accurate records on children enrolled in the program to include their development, attendance, immunizations, and general health.
- Ensure the internal tracking and inventory systems related to office and classroom supplies are adhered to by center staff.
- Notify the Program Manager immediately and document any problems or incidents of a serious nature to include staff problems or complaints from parents or outside sources.
- Request approval for, and order and maintain childcare supplies and equipment while adhering to the procurement, accounting, and grantor requirements. Keep track of staff needs regarding training.
- Document violations in policy or procedures for childcare staff to ensure proper implementation of policies and procedures.
Division Partnership
- Assist childcare center staff in preparing for presentations, parent meetings, education and outreach events, and other and activities, in collaboration with Head Start, TSS and other designated programs- as assigned
- Assist with preparations, facilitation, organization, and follow-up of special activities such as off-campus field trips, ensure all waivers, permissions, and safety-reporting measures are reviewed prior and during event or trip.
Parent Involvement
- Establish and maintain positive communication lines open with parents on a regular basis to discuss the development of their enrolled children.
- Ensure the center is represented in a positive light within the community, supporting management and program decisions, and de-escalating any issues which may arise with parents.
- Notify parents and provide them of incident reports for any issues that may involve their child.
- Ensure the timely preparations, planning and dissemination of program information, calendars, menus, etc.
Other
- Must be respectful, courteous, and friendly to parents, co-workers and the tribal community.
- Must have effective communication skills to assist parents and other staff

- Other duties as assigned by Supervisor.
Education/experience requirements:
Minimum Qualifications: Bachelor’s Degree in Early Childhood Education or related field with minimum 2 years or an active Child Development Associate (CDA) with 3 years of supervisory experience or
A minimum of 5 years of experience in KTTT childcare center or related field with CLASS certification.
Strong Ability to adequately observe participants activities, enforces safety regulations, and apply effective and appropriate management techniques.
