Responsibilities:

The TSS Support Staff will provide administrative and programmatic support to ensure the effective delivery of services to Tribal Community parents/guardians and students. This role supports student success by assisting in outreach, tutorial, transportation cultural programming, recordkeeping, and communication between Tribal communities, school staff, and families.

Essential Duties and responsibilities include the following:

  • Support Student Tribal Leave process.
  • Support After School Tutorial Program staff.
  • Support during Education enrollment, registration and recruitment of applicable programs but not limited to; Head Start, Childcare, TSS, Tutorial Services.
  • Assist with the coordination of academic and cultural support services for Tribal students.
  • Support the organization and execution of events, workshops, and cultural programs.
  • Help ensure compliance with district, state, and federal policies related to Tribal education.
  • Prepare correspondence, flyers, and outreach materials as needed.
  • Assist with transportation from EPISD campuses to After School Tutorial Program
  • Provide clerical support including filing, data entry, and responding to inquiries to all education programs that need assistance.
  • Maintain confidentiality and cultural sensitivity in all interactions.
  • Ensure that KTTT student safety is at the center of all practices, events, and other services
  • Uphold the ethics determined by the KTTT Education committee and Tribal administration (education and other).
  • Other duties, responsibilities and directives may be assigned by designated supervisor or leadership.

Knowledge, skills and abilities for the position:

  • Must have strong computer skills; and skilled in excel, word, PowerPoint, and other office software.
  • Proficient and able to use office machines, printers, PC, copier and calculator.
  • Mathematics: Ability to perform simple arithmetic for time-keeping and counting calculations.
  • Language & Communication: Strong Ability to read, write, speak and understand English and communicate effectively with others.
  • Must have the skills and ability to interpret and provide instructions furnished in written, verbal, diagram or schedule form. Attention to detail and accuracy.
  • Ability to understand, provide and follow written and verbal direction.
  • Ability to exercise independent and sound judgment under pressure.
  • Must be a self-starter who is motivated, driven, and takes initiative.
  • Must be willing to invest time to study complex guidance, research, and obtain the knowledge necessary to succeed within the role
  • Must have good customer service skills and courteous to patients, staff and visitors.
  • Must be able to document and track projects; under pressure and in a timely manner.
  • Must be adaptable and able to shift and manage multiple competing priorities.
  • Employee must demonstrate ability to solve problems in a fast-paced setting and deal with a variety of variables under pressure;
  • Strong organizational skills to include records management, filing, other documentation and record keeping.
  • Ability to work flexible hours and be on call as required.
  • Must be detailed orientated and possess strong ability to document and report with detail and accuracy.
  • Ability to manage and maintain security of confidential data and information.
  • Cultural awareness of and sensitivity to Kickapoo traditions, religious beliefs and way of life.

Supervision exercised:

This position does not carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws.

Education/experience requirements:

Minimum Qualifications: A minimum of 30 or more college hours or an associate degree or equivalent technical degree (such as Office Assistant, Paraprofessional Advanced, or other applicable qualifying certification) and demonstrated experience performing high-level office administrative assistant functions, including drafting memorandums with oversight of budgets and operations functions. One to three years of related experience and/or training.

Preferred Qualifications: A bachelor’s degree in business administration, finance, accounting, or a related field is preferred. Proven experience as an administrative assistant or similar role, preferably in a finance or accounting environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Previous experience supporting C-level executives or finance professionals is a plus.
