Position: Tribal Senior Court Clerk
Supervisor: Tribal Court Administrator
Division: Kickapoo Tribal Council
Department: Legal Department
Responsibilities
Perform clerical duties in court of law; prepare docket of cases to be called; secure information for judges; and contact witnesses, attorneys and litigants to obtain information for court.
Essential Duties and responsibilities include the following:
- Receive all filings in the Tribal Court.
- Plans the schedules of hearings, prepares and is responsible for the docket or calendar of cases to be called and ensure parties receive full notice of hearings. At times this includes use of video conferencing services.
- Maintains case folders and post, file or route documents.
- Prepare summonses, notices, garnishments orders and other court documents as directed, and also review court orders drafted by other agencies.
- Record case dispositions, court orders and arrangement for payment of court fees.
- Collect court fees or fines and record amounts collected.
- Maintain a high level of customer service and organization.
- Responsible for all case files safe and secure; file accurately and promptly all relevant documents
- Respond to questions/comments in a courteous and timely manner.
- Coordinates and keep Tribal Court Judges informed about case status, hearings, calendar, and upcoming issues.
- Keep supervisor informed about projects and duties via staff meetings and/or individual meetings or communications.
- Acts as a liaison officer between the Tribal Court and other departments, agencies, and jurisdictions.
- Must make travel and meeting arrangements as necessary for Court staff.
- Must manage all garnishment of wage cases in their entirety.
- Must keep an accurate record of all garnishment deductions taken per Tribal Court Orders.
- Must manage all collection of debt cases in their entirety, often in bulk, including providing service on the parties.
- Must perform all background checks.
- Assist with prompt notification of parties of all relevant court hearings and ensuring proper service prior to Court.
- Attend all court hearings as directed and keep minutes of all proceeding.
- Administer Oaths.
- Prioritizes other tasks as may be assigned from time to time by supervisor.
Education/experience requirements:
Minimum Qualifications: Two (2) years of college from an accredited university. Five (5) years of court clerical/administrative experience.
Preferred Qualifications: Bilingual in English and Spanish.
