Responsibilities:

PRC Registration Clerk serves patients and the community by facilitating and completing the overall registration and eligibility process for the Purchased Referred Care Program of the Kickapoo Traditional Tribe of Texas. Communicates appropriate information needed to the patient or patient’s agent in order to complete Purchased Referred Care (PRC) eligibility; determines eligibility of patients for direct and referred care.  Gathers information from patients for payment and billing, recognize those patients qualified for alternate billing resources ensure all patient information is accurate and up to date based on applicable PRC regulations, policies and practices.  Provides administrative support, reception and clerical duties for the Purchase Referred Care Department and Kickapoo Community Health Center as needed.

Essential Duties and responsibilities include the following:

  • Adheres to Kickapoo Traditional Tribe of Texas Personnel Policies, departmental policies, rules and regulations.
  • Assist with maintaining the log for trips made to local pharmacies for facilitators.
  • Assists in providing PRC Education for PRC patients, the resources of PRC rules and regulations, eligibility, policy and procedures.
  • Communicates clearly with patients to ensure understanding.
  • Conduct personal interviews with new and established patients to identify eligibility for alternate resources.
  • Ensures that the patient understands the PRC the PRC process and their responsibility.
  • Explain Indian Health Care Improvement Act Amendments of 1988, P.L. 100-713 requiring Kickapoo Traditional Tribe of Texas Clinic to seek payment from any other medical program in which the patient might be eligible to participate prior to using PRC funds Explain that PRC is the payor of last resort and if they are eligible for other resources, they must apply for these resources first.
  • Files Management to maintain accurate record keeping of PRC completed registrations, updating any pending information.
  • Greets and directs individuals upon arrival at PRC department. Performs receptionist duties, including answering, transferring, referring phone calls, or taking massages as needed. Makes referral medical appointments for tribal members as directed by the referring physician.
  • Interacts in an honest, trustworthy and dependable manner with patients, employees, visitors, and vendors.
  • Maintain standard and ethics at all times, to include compliance with applicable privacy regulations, if any
  • Maintains regular attendance and punctuality.
  • May cross train in PRC other PRC other duties to serve as backup as/when required.
  • May serve as interpreter when necessary for Kickapoo patients.
  • Must be comfortable and confident when speaking.
  • Must comply with Federal laws and regulations as required by the Health Insurance Portability and Accountability Act (HIPAA).
  • Provides general information to the public regarding operating hours, referral telephone numbers to other agencies and tribes.
  • Receives daily PRC documentation from patients and/or facilities by fax, phone, mail, email or walk-ins. Date stamps all correspondence on date of receipt.
  • Responsible for training staff members regarding the patient registration process, and the requirement of required documentation needed for PRC registration and approval.
  • The nature of this position requires interaction with outside agencies, providers.
  • Verifies Medicaid eligibility online via Eligibility Verification System, using the patient’s Medicaid and/or Social Security information; update Medicaid status in system including termination date.
  • Performs other duties as assigned by supervisor or designee.

Education/Experience Requirements: 

Minimum Qualifications: High School Diploma or GED required. 

Preferred Qualifications: Prefer 2 years related office experience in healthcare or office setting. Reception or clerical experience at a healthcare setting preferred. Computer experience required. Ability to multi-task in a fast paced, high stress environment.
