Responsibilities: 

The Library and Literacy Coordinator is responsible for managing the daily operations of the library, welcoming guests, and fostering an environment that benefits students of all grade levels. This role involves developing and implementing literacy programs, collaborating with education and community organizations, and creating a resource-rich environment that promotes a love for reading and learning within the community. This role will oversee the daily operations of the library, including circulation, cataloging, proper coding and maintaining the library collection to ensure easy accessibility and tracking. The Library and Literacy Coordinator will also manage the Accelerated Reader (AR) program, ensuring its effective implementation while monitoring the student progress.

Essential Duties and responsibilities include the following: 

  • Answer phone inquiries, direct calls, and provide information relating to the Tribal Education Library.
  • Arrange and manage appointments, schedules and calendars. Schedule parent meetings or other appointments as assigned by direct supervisor.
  • Arrange meetings, take and prepare meeting notes, as required. Notes commitments made by management or staff during meetings and arrange the appropriate follow up actions.
  • Arrange travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
  • Build and maintain relationships with community partners to enhance library services and resources.
  • Collaborate with Education management, community organizations, and other stakeholders to support literacy initiatives.
  • Communicate verbally and in writing to answer inquiries and provide information.
  • Conserves management’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Contribute to team effort by accomplishing related results as needed.
  • Coordinate the flow of information both internally and externally.
  • Coordinate internal department correspondence, works independently on special and ongoing projects.
  • Design, implement, and evaluate literacy programs for various age groups, including children, teens, and adults.
  • Develop and deliver workshops, reading clubs, and other educational activities to promote literacy.
  • Ensure proper maintenance and organization of library sources and facilities.
  • Ensure that each visitor obtains a library card, including creating and issuing the card.
  • Ensure the library is a welcoming and safe environment for all tribal members.
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • General administrative and clerical support including but not limited to receive and sort mail and deliveries.
  • Handle check requests, requisitions, payroll, coordinates facility repairs and telecommunications.
  • Implement and maintain office systems.
  • Inventories, orders, and organizes and/or distributes office supplies when received.
  • Liaison with internal and external contacts.
  • Maintain a detailed log of books checked in and out.
  • Maintain a record of sign-in sheets for library visitors.
  • Maintain an organized filing system of paper and electronic documents.
  • Maintain an up-to-date and diverse library collection that meets the needs and interests of the community.
  • Maintain appointment diary either manually or electronically.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Make copies for staff; preparation for site-based communication;
  • Manage and maintain a neat and professional office environment.
  • Manage the library card system, ensuring accurate records of library cardholders.
  • Manages vendor relationships related to ordering supplies and miscellaneous office equipment.
  • Operate office equipment.
  • Organize and host community events, author visits, and other special programs.
  • Organize internal and external events and plan alongside other center assistance.
  • Oversee the Accelerated Reader (AR) program, ensuring its effective implementation and monitoring the students’ progress.
  • Oversee the daily operations of the library, including circulation, cataloging, proper coding and maintaining the library collection to ensure easy accessibility and tracking.
  • Oversee the maintenance and functionality of all technology within the library.
  • Perform general administrative assistant duties such as typing, copying and maintenance of paper or electronic records.
  • Plan/organize and implement events such as meetings, business luncheons, or client dinners
  • Prepare and manage correspondence, reports and documents.
  • Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
  • Promote library services and literacy programs through outreach activities and marketing efforts.
  • Provide information to callers.
  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
  • Responsible for creating and tracking site-based profiles.
  • Type reports, memos, letters and other documents using word relevant computer software.
  • Use considerable judgment and initiative to determine the approach or action to take in non-routine situations with all administrative duties
  • Utilize technology to enhance library services and literacy programs.
  • Perform other tasks as assigned by supervisor.

Education/experience requirements: 

Minimum Qualifications: Minimum of 80+ college hours in education or related field and Minimum of two years’ experience working in a high paced educational setting or customer service-oriented setting.

Preferred Qualifications: Bachelor’s degree in library science, Education and community development, or a related field.

Disqualifying Criteria:

Regulations implementing the Indian Child Protection and Family Violence Prevention Act require an individual to be denied employment if he or she has been convicted of any felony, or any two or more misdemeanor offenses, under Federal, State, or Tribal law involving crimes of violence, sexual assault, molestation, exploitation, contact or prostitution, crimes against persons, or offenses committed against children.
