RESPONSIBILITIES:

Relays incoming, outgoing, and interoffice calls; greets and directs incoming visitors in a courteous manner. Ensures efficient and professional processing of all assigned responsibilities. Work contacts include administrators, staff and the public. Must be able to use independent judgment as it pertains to administrative functions. to ensure compliance with Kickapoo Traditional Tribe of Texas Internal Control Standards, and policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

  • Promptly answer all incoming calls with proper telephone etiquette; must sound professional, credible, pleasant and sincere
  • Supply information to callers, records messages, keeps record of calls placed and people contacted.
  • Greet incoming visitors, and notifies departments of their arrival; receives incoming packages and deliveries.
  • Perform clerical duties such as typing, proofreading, maintaining accurate logs of surveillance footage, incident reports, and maintenance schedules.
  • Assist in writing, reviewing, and maintaining policies and procedures for the Surveillance Department.
  • Ability to manage and maintain security of confidential data and information.
  • Manage the preparation and routing of documents to ensure all necessary signatures are obtained and properly recorded
  • Requires computer knowledge to include Excel, Microsoft Word and Access.
  • Utilize the Time Record system to track, verify, and maintain accurate employee timesheet data, ensuring compliance with scheduling and payroll procedures
  • Language Skills – Ability to read, analyze and interpret basic documents, such as policy and procedure manuals; ability to respond to common inquires or complaints from customers, regulatory agencies or members of the business community; ability to effectively present information in one-on-one and group situation.
  • Must be able to attend meetings and trainings as required.
  • Perform such other tasks as may be assigned from time to time by the Manager of Surveillance.
  • All Surveillance Department employees must abide by Kickapoo Traditional Tribe of Texas confidentiality policies. The release or divulging of any information obtained during the course of the job will be considered a breach of confidentiality and will be cause for immediate termination.

EDUCATION / EXPERIENCE REQUIREMENTS:

Minimum Qualifications: A minimum of 30 or more college hours or an associate degree or equivalent technical degree (such as Office Assistant, Paraprofessional Advanced, or other applicable qualifying certification) and demonstrated experience performing high-level office administrative assistant functions, including drafting memorandums with oversight of budgets and operations functions. One to three years of related experience and/or training.

Preferred Qualifications: A bachelor’s degree in business administration, finance, accounting, or a related field is preferred. Proven experience as an administrative assistant or similar role, preferably in a finance or accounting environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Previous experience supporting C-level executives or finance professionals is a plus.
