RESPONSIBILITIES:

Responsible for organizing and coordinating office operations and procedures in order to ensure organization effectiveness and efficiency. Communicates daily with KGC Commissioners and Executive Director and other persons within and outside organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

position listed below with or without reasonable accommodation

  •  Employee is responsible to ensure that their designated operations are in
    compliance with Tribal and Gaming Ordinance.
  • Assign and monitor clerical and secretarial functions.
  • Assist in the petty cash process.
  • Coaching and disciplining KGC Receptionist staff including training, onboarding,
    and performance evaluations.
  • Control Correspondences.
  • Manage Front Desk and design of seasonal spaces.
  •  Define procedures for record retention.
  •  Design and implement office policies.
  •  Design/Ensure filing systems are maintained and up to date.
  •  Ensure effective transfer of files and records.
  • Ensure filing systems are maintained and up to date.
  • Ensure personnel files are up to date and secure.
  • Ensure protection and security of files and records.
  • Establish standards and procedures for approval by the Executive Director and
    Gaming Commissioners.
  • Maintain and check office inventory to determine the replenishment of needed
    supplies and delegate reordering of supplies to reception staff.
  • Coordinate with other departments like IT & Facilities and vendors to maintain
    office equipment and arrange repairs as needed
  •  Arranged and coordinated with external departments for office infrastructure, and
    operational upgrades.
  • Prepare, review and reconcile timesheets (Kronos) and leave forms to ensure
    accuracy and compliance.
  • Plan and implement office systems, layouts, and coordinate equipment
    procurement in the line with operational needs and budget allocations
  •  Oversee the preparation of supply requisitions and review.
  • Oversee procurement processes, (Spend Map) including requisitions, tracking
    GL accounts, vendor coordination, and Capex justifications.
  • Provide on the job and other training opportunities.
  •  Draft memoranda, reports and administrative correspondence for the Executive Director and Commissioners.
  • Remains competent and current through self-directed professional reading,
    developing professional contacts with colleagues, attending professional
    development courses, and attending training and/or courses as required by the
    immediate supervisor.
  • Assist with monitoring and implementing internal controls to reduce operational risks.
  • Support Emergency readiness and continuity of operations in case of office closure or incidents.

Supervision exercised:

This position does carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws.

Education/experience requirements:

Minimum Qualifications: A Bachelor’s Degree in Business Administration, management or related field. Five (5) to Seven (7) years’ experience in all aspects of administrative and clerical support. Strong demonstrated skills and abilities with office equipment.

Must have demonstrated experience in managing tasks and time effectively based on priority.

Preferred Qualifications: Previous supervisory experience.
