Responsibilities
Will provide support and assistance to Health and Human Services Administration and its assigned departments such as KCHC and other program departments by receiving, storing and issuing materials, equipment, supplies and other items from KTTT stockroom, warehouse or storage yard. Keep records and compile stock reports. Collaborates with KTTT Maintenance Department, making them aware of needed building repairs, building safety issues for all HHSA programs. Must ensure efficient and professional processing of all assigned responsibilities.
Essential Duties and responsibilities include the following:
- Work with KTTT Inventory Specialists annually as they provide inventory of HHSA and its departments office furniture, equipment, merchandise, and other supplies.
- Identify supplies (office furniture) that are not in good repair and may need replacing.
- Stock materials or merchandise and keep record for different departments as requested by program management.
- Keep files of purchased inventory, and inventory that is in the process of ordering.
- Prepare reports, such as monthly inventory of supplies issued to HHSA departments.
- Work with KCHC to provide service efficiently such as receiving orders of items needed and delivering the items in a timely manner.
- May be required to make spreadsheets for price comparisons.
- Promptly answer all incoming calls with proper telephone etiquette; must be professional, credible, pleasant and sincere.
- Pick up KCHC daily mail, sort and file in department mail box; deliver to office when appropriate (too big for mail box or too heavy to carry).
- Respond to questions from other departments related to facilities and inventory issues, providing courteous and friendly service.
- Coordinate with HHSA program department managers to perform monthly visual inspections of assigned equipment, assist with getting repairs, and document. If it is medical equipment that needs repair, report to the program manager and they will follow their protocols for repairs.
- When building repairs are required inside the building by outside vendors, escort the vendor to the place of work; stay with them when other duties do not require attention.
- Report medical facility safety issues to Clinic Safety Officer.
- Will keep Director of Nursing and Clinic Operations Director informed at all times regarding inventory and facility issues.
- Provide inventory and facilities reports to Director of Nursing and Clinic Operations Director as requested.
- Perform such other tasks as may be assigned by supervisor.
Knowledge, skills and abilities for the position:
- Knowledge of administrative and clerical procedures and system such as but not limited to: Word Processing, Excel and/or other system required for the job.

Supervision exercised:
This position does not carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
Education/experience requirements:
Minimum Qualifications: High school diploma or graduation equivalent diploma (GED)
Preferred Qualifications: One year of work-related skill, knowledge, or experience.

Special certification required:
Must have a valid Texas State Driver’s license and must be insurable.

Physical activities:
- While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools or controls.
- The employee frequently is required to reach with hands and arms.
- The employee is occasionally required to stand, walk, stoop, kneel, crouch or crawl.
- The employee must occasionally be able to lift and/or move up to 50 pounds.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision and depth perception.
- The employee must be able to communicate effectively in person or using telecommunications equipment.
- The employee must have the hand-eye coordination and manual dexterity to operate a keyboard, touch-screen display, telephone and calculator.
- The employee must have a normal range of hearing and be able to talk.
Work environment:
- While performing the duties of this job, the employee is occasionally exposed to dirt, dust, smoke, toxic materials, air contaminants, noise, humidity, temperature extremes and working at heights.
- Employee works in a clinical setting with some exposure to communicable diseases; employee is expected to adhere to safety standards, including appropriate vaccinations, to mitigate risk of exposure.
- May be required to report to work in inclement weather and during public health emergencies.
AVAILABILITY:
The employee typically may work Monday through Friday 8:00 am to 5:00 pm but may need to work nights, weekends, holidays and/or extended hours if required; may also be required to work during a natural disaster or to be on call during disasters and/or other catastrophic events.
Background Check:
- Must be able to meet background screening requirements.
- Requires successful completion of a background investigation that includes a fingerprint based criminal history search.
