Responsibilities:

The receptionist performs a variety of client services and administrative duties to ensure that visitors receive top-quality service. Provides administrative support functions related to the activities and operations of the Kickapoo Traditional Tribe of Texas Gaming Commission. Provides office professionalism; realizing this position is usually the first point of contact for office visitors and telephone calls. Responsibilities include organizational efficiency in reception-area activities, exceptional data entry and computer skills. 

Essential Duties and responsibilities include the following: 

An individual must be able to successfully perform each the essential functions of this position listed below with or without reasonable accommodation. 

  • Answer telephone, screen and direct calls.
  • Arrange and confirm appointments.
  • Assist with planning and organizing office functions, holiday events, and meetings.
  • Assist with the office procurement process.
  • Assist with the use of the identification card machine/digital camera for issuance of licensee identification badges.
  • Communicate verbally and in writing to answer inquiries and provide information.
  • Complete assigned duties within the deadlines prescribed while ensuring that all work is checked for accuracy, neatness and conformance with all policies and procedures.
  • Coordinate the flow of information both internally and externally.
  • Direct persons to correct destination.
  • General administrative and clerical support.
  • Implement and maintain office systems.
  • Kindly greet persons entering the building.
  • Liaison with internal and external contacts to complete assignments.
  • Maintain a pleasant, friendly, and welcoming attitude at all times.
  • Maintain appointment diary either manually or electronically.
  • Maintain schedules and calendars.
  • Manage office space.
  • Manager office supply inventory and replenishment.
  • Must adhere to Personnel Policies and Alcohol Policies.
  • Must maintain good attendance and be available to working early/late hours or on weekends if needed.
  • Operate office equipment.
  • Prepare and manage correspondence, reports and documents.
  • Prepare letters and documents.
  • Provide information to callers.
  • Receive and sort mail and deliveries.
  • Schedule appointments.
  • Set up and maintain a filing system.
  • Take and relay messages.
  • Tidy and maintain the reception area.
  • Perform such other tasks as may be assigned from time to time by supervisors.

Education/experience requirements: 

Minimum Qualifications: High school diploma or graduation equivalent diploma (GED). Six (6) months- One (1) year experience with routine clerical and administrative duties. 

Preferred Qualifications: Previous clerical work experience is preferred.
