Responsibilities:

A fleet shop manager is responsible for managing vehicle maintenance and repairs, coordinating vehicle acquisition and disposal, overseeing driver safety and compliance, managing fleet budgets, and supervising shop staff and operations to ensure the fleet runs efficiently and cost-effectively.

Key duties involve developing preventive maintenance programs, tracking vehicle performance and costs, ensuring regulatory compliance, and optimizing routes and schedules. The role requires strong technical expertise, financial acumen, organizational skills, and leadership abilities to support the company’s overall business goals.

The Fleet Shop Manager supports the Executive Director in the management, coordination and execution of daily operations related to the Transportation Department. This role requires strong organizational, communication and administrative skills to ensure the smooth functioning of the Transportation Department.

Essential Duties and responsibilities include the following:

  • Maintenance & Repairs: Schedule and oversee regular maintenance, inspections, and prompt repairs to minimize downtime and keep vehicles in optimal condition.
  • Vehicle Management: Manage the acquisition, purchase, leasing, and disposal of fleet assets.
  • Driver Management: Recruit, train, and manage drivers, ensuring safety, adherence to company policies, and compliance with working hours and regulatory standards.
  • Financial Management: Develop and manage fleet budgets, monitor fuel consumption and costs, and analyze the total cost of ownership to control expenses.
  • Operational Oversight: Implement preventive maintenance programs, optimize routing and dispatching, and manage inventory of parts and equipment.
  • Data & Reporting: Track vehicle performance, fuel efficiency, and operational data using telematics and fleet management software. Generate reports for management.
  • Safety & Compliance: Ensure drivers adhere to safety regulations, implement driver safety programs, and maintain records for vehicle inspections and compliance.
  • Team Leadership: Lead and motivate shop staff and technicians, conduct performance evaluations, and provide coaching.
  • Assist in developing job descriptions for transportation personnel and oversees filling of vacancies.
  • Assist in setting operations policies and standards, including determining safety procedures for the handling of dangerous goods.
  • Assist in developing long range plan for transportation capital and personnel budgetary needs.
  • Assist in achieve cost-effective practices and demonstrates responsible fiscal control over program budget.
  • Assist in establish system to maintain transportation records and submit reports when required.
  • Assist in systematically monitors the effectiveness of transportation programs and services.
  • Assist in implement procedures that maintain safety standards in compliance with state and federal laws and insurance regulations.
  • Assist in facilitate effective communication clients, staff and vendors.
  • Assist in planning, organizing or managing the work of subordinate staff to ensure that the work is accomplished in a manner consistent with organizational requirements.
  • Conduct annual employee evaluations and make recommendations for employment.
  • Promote safe work activities by conducting safety audits, attending company safety meetings or meeting with individual staff members.
  • Perform other work-related duties as assigned by immediate supervisor.

Education/experience requirements:

Minimum Qualifications: High school diploma or graduation equivalent diploma (GED). 

Preferred Qualifications:  Associate degree or a bachelor’s degree in logistics, business administration, automotive technology or another relevant field. Three (3)-(5) years of experience in fleet management, logistics, or a related field is preferred.
