Responsibilities:

Reports to Customer Service & Accounts Receivable Supervisor. Performs various clerical and routine accounting tasks in support of the accounting department, to include data entry, processing various payments, and/or assisting in the preparation of billings and other financial reports. Reconciliation of various accounts or reports. Responds to inquiries and contacts other department and/or vendors to resolve a variety of problems. Assists in various clerical duties. Prepares deposits, invoices, and is responsible for data entry in Accounting software to record all funds received.  Responsible for performing administrative tasks to support daily business operations.

 Essential Duties and responsibilities include the following:

  • Answers telephones, maintains logs for business documents, meets and greets visitors, and assists in other clerical functions.
  • Performs clerical duties such as creating labels, filing, typing, proofreading, and sorting of mail.
  • Handles cash and cash related transactions in ledgers and reconciles cash reports.
  • Updates and stores business files to ensure they are accurate and provide copies of business files when requested.
  • Prepares bank deposits for different accounts and makes sure funds are deposited in correct accounts.
  • Enters all daily cash received at Customer Service window in Accounting software.
  • Enters all ACH deposits for all KTTT bank accounts in Accounting software.
  • Ensures all entries have corresponding supporting documentation.
  • Be able to keep up with monthly process to close previous month.
  • Be able to learn and understand basic accounting information related to Funds, GLs, Departments.
  • Generate and be able to read accounting reports.
  • Prepare invoices and make sure payment is received.
  • Contact Tribal Members, employees or vendors to obtain payment for various purposes and be able to communicate with them in a professional manner.
  • Communicate effectively with only Spanish-speaking KTTT employees in Mexico to obtain supporting documentation for deposits.
  • Handles entering Mexican deposits into Accounting software and uses exchange rate to convert transactions to dollars.
  • Be able to read and understand Mexican bank accounts.
  • Greet incoming visitors and notifies staff of their arrival as necessary; receive incoming packages and deliveries.
  • Demonstrate a high level of professionalism and customer service when dealing with customers, as well as confidential and sensitive issues.
  • Proactively establish and maintain a highly organized filing system and work area.
  • Scan business files when required.
  • Contact corresponding personnel when checks are ready to be picked up.
  • Ability to handle multiple tasks and job duties simultaneously.
  • Listen and respond to any issues, must have patience and ability to handle difficult situations with upset employees, tribal members and or vendors.
  • Assist departments by providing information or documents pertaining to their department when necessary.
  • Perform such other tasks as may be assigned from time to time by Supervisor, Assistant Controller, Controller and CFO.

Knowledge, skills and abilities for the position:

  • Familiarity with common office process, including filing, handling documents and directing telephone calls.
  • Computer literacy, including familiarity with common word processing, spreadsheet, database and basic accounting software.
  • Ability to type at a moderate rate of speed; operate standard office machines; communicate effectively.
  • Ability to establish cooperative working relationships with person contacted in the course of performing assigned duties.
  • Verbal communication for addressing other employees, customers and other business contacts.
  • Customer service for dealing with members of the public.
  • Ability to perform simple arithmetic for timekeeping and counting calculations.
  • Ability to read, write, speak and understand English, and communicate effectively with others.
  • Ability to read, write and speak and understand Spanish, and communicate effectively.
  • Ability to calculate Mexico currency to Dollar currency and vice-versa.
  • Ability to understand and follow written and verbal direction.
  • Attention to detail to ensure all tasks are completed to a high standard, such as taking sufficiently detailed minutes and telephone messages and accuracy in data entry.
  • Organization and ability to multitask for filing and completing several clerical and administrative tasks at once.
  • Ability to manage and maintain security of confidential data and information.
  • Ability to exercise independent and sound judgment.
  • Integrity and discretion when working with sensitive employee and customer details.

Education/experience requirements:

Minimum Qualifications: High School Degree or equivalency or at least 12 months of experience that is directly related to the duties and responsibilities specified.

Preferred Qualifications: Two years general office experience, including word processing, spreadsheets and cash handling skills.
